Overview

An overseas social robotics pioneer leases specialised telepresence robots to UK schools and hospitals, allowing chronically ill children to virtually attend class and stay connected with their peers. Lacking a physical service centre or warehouse in the UK, the company partnered with TFix. TFix provides a complete, localised setup—handling inventory storage, technical repairs, parts management, and customer shipping through a centralised digital portal.

The Challenge

  • No Local Footprint: As an international company, the client had no physical depots, tech staff, or storage facilities in the UK to manage their expanding fleet of leased educational and medical devices.

  • Complex Return Coordination: The robots are regularly moved between different schools and hospitals. Managing these incoming and outgoing leases manually was an administrative burden. The client needed a simple, zero-cost return method for their end-users.

  • Supply Chain Disconnection: The client required total, real-time visibility into their UK stock levels, spare parts, original transit packaging, and active repair tickets directly from their overseas headquarters.

TFix Solution

1. Centralised Warehousing & SKU Management

TFix took over the client’s entire service operation in the UK. We safely store the delicate robots, their custom spare parts, and their original packaging. Using the custom TFix portal, the overseas team can monitor live inventory levels and dynamically shift hardware units between different product SKUs as market demand changes.

2. Automated Return Logistics & Free Shipping

When a school or hospital finishes their lease, they can easily log into the system to book the unit back in. The portal automatically generates a free return shipping label for the user. The robot is then shipped directly back to the TFix facility at no cost to the school or hospital.

3. Specialist Repair & Lifecycle Servicing

Once a robot arrives at our depot, TFix technicians perform detailed diagnostic checks. Using the client's stored spare parts, we repair any physical damage, replace faulty internal components, and perform firmware updates. The device is then thoroughly sanitised to ensure it is safe for medical and educational environments.

4. Closed-Loop Inventory Restocking

After passing a final quality control check, the refurbished robot is placed back into its original packaging. TFix updates its status in the digital portal, moving the unit back into active inventory so the client can immediately fulfil a new order from another school or hospital.

Results

  • Instant UK Infrastructure: Enabled an overseas technology company to run a seamless, localised leasing network without investing in independent UK real estate or hiring a local team.

  • Frictionless Return Experience: Swapped out a complicated logistics process for an automated, user-friendly return system that protects and values the end-customer.

  • Total Supply Chain Visibility: Provided the international client with full control over their UK assets, allowing them to confirm orders, fulfil stock, and monitor repairs from anywhere in the world.

Client Outcome

By partnering with TFix, the robotics manufacturer successfully scaled its operations across UK local authorities and healthcare trusts with minimal overhead. The client preserved their capital while ensuring their life-changing communication tools were rapidly repaired, sanitised, and redeployed to children who depend on them.
